Quotify ("we", "our", "us") is a software-as-a-service platform for contractors and small business owners. Our registered address is available upon request. You can reach us at support@quotify.site.

2. What Data We Collect

We collect the following categories of personal data:

• Account data: name, email address, company name, VAT number, bank account details you provide during registration or in Settings.
• Quote data: client names, email addresses, project descriptions, and line items you enter when creating quotes.
• Usage data: pages visited, features used, session duration, browser type and IP address (collected via our analytics provider).
• Payment data: subscription status and billing history. We do not store full credit card numbers — payments are handled by Stripe, Inc.

3. How We Use Your Data

We use your data to:

• Provide and improve the Quotify service.
• Send transactional emails (quote deliveries, invoices, password resets).
• Send product updates and announcements (you can unsubscribe at any time).
• Process subscription payments via Stripe.
• Comply with legal obligations.

4. Legal Basis (GDPR)

If you are located in the EU/EEA, we process your data on the following legal bases:

• Contract performance: to deliver the service you signed up for.
• Legitimate interest: to improve the platform and prevent abuse.
• Consent: for marketing communications.

5. Data Sharing

We do not sell your personal data. We share data only with trusted sub-processors:

• Stripe — payment processing (stripe.com/privacy)
• Resend / SendGrid — transactional email delivery
• Cloud hosting providers — infrastructure and storage

All sub-processors are contractually obligated to protect your data.

6. Data Retention

We retain your account data for as long as your account is active. If you delete your account, we delete your personal data within 30 days, except where retention is required by law (e.g. financial records for 7 years).

Under GDPR you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Request deletion of your data ("right to be forgotten").
• Object to or restrict processing.
• Data portability (receive your data in a machine-readable format).

We may update this Privacy Policy from time to time. We will notify you by email or in-app notice at least 14 days before material changes take effect. The latest version is always available at quotify.site/privacy.
